In 2022, HIMSS migrated from Microsoft Dynamics GP to Oracle NetSuite ERP. The implementation centralized core financial systems for the 430-employee nonprofit with approximately $40,000,000 in annual revenue, positioning Oracle NetSuite ERP as the primary transactional ledger and reporting system. Configuration work emphasized general ledger, accounts receivable, accounts payable and financial reporting capabilities to support month end close and year end audit workflows. HIMSS integrated Oracle NetSuite ERP with Adaptive Planning and NSPB for budgeting, forecasting and board reporting, and configured outputs to feed the annual budget and forecasting process led by FP&A. The organization also rebuilt financial structure and KPIs to improve analysis and executive reporting.
Operational coverage focused on Finance and Accounting, including AR, AP and GL teams, FP&A oversight for compensation financial management covering over two hundred staff and contractors, and support for an asset sale transaction. System administration was retained internally, with HIMSS staff serving as System Administrator for Netsuite and Adaptive Insights, and an authorized bank contact responsible for payment release. The implementation supported ongoing monthly financial close activities and audit readiness.
Governance and process changes included creation of a formal FP&A department, centralized budgeting and reporting workflows, and closer partnership between FP&A and the Controller to ensure accurate transaction recording across departments. Financial reporting and budgeting systems were implemented to drive board reporting, detailed monthly financial analyses and strategic cost benefit assessments, while operational ownership of configuration and data governance remained with HIMSS finance leadership.

The deployment includes Microsoft 365 productivity capabilities with Office 365 Mail surfaced on the HIMSS website to handle organizational and public-facing email. Standard Collaboration functional modules applied include email and mailbox services, cloud document storage and sharing, and synchronous collaboration tooling, consistent with Microsoft 365 feature sets.
Operational control is exercised through a cloud-hosted Microsoft 365 tenant architecture, with centralized IT administration and identity and access management aligned to Microsoft identity services.
