Deputy was trialed and configured to capture clock ins and outs, publish rosters in advance using the Open Shift capability, and route approved timesheets for one-click export into Xero payroll, enabling end to end staff hours to payroll flow. The solution emphasized automated timesheet capture, approval workflows, and reduction of manual reconciliation.
Operational coverage included the Cellar Door, Estate and restaurant teams, many of whom work under the Wine Industry Award, with roster management led by Trudy Merta and payroll and business management led by Emma Williams. Governance changes focused on formalizing timesheet approval, rostering publication cadence, and use of Deputy task and announcement tools to standardize frontline communications. Explicit benefits reported included elimination of paper timesheets, seamless payroll exports to Xero, higher visibility into who is on site and when, and freed managerial time to prioritize customer service and marketing activities.

Integration structure relied on a cloud to cloud connection between Deputy and Xero, using the out of the box integration to transfer rostered and actual hours without manual entry. Operational coverage included the Cellar Door, Estate and restaurant, centralizing payroll inputs for roles from chef and front of house to packing and cleaning. The combined solution supported manager and staff self service, published rosters, mobile shift alerts, open shift claiming, and minute by minute visibility of who was on site.
Governance and process changes formalized timesheet approval and export steps, removed paper timesheets, and established role based visibility so managers could publish rosters in advance and approve pay runs. Outcomes reported by leadership included elimination of manual reconciliation, reliable on time pay, reduced administrative load for the roster manager, and freed capacity to focus on customer experience and marketing rather than day to day rostering. SMB Consultants provided implementation guidance and the Xero Payroll plus Deputy architecture established a scalable payroll and rostering foundation for growth.
