Hollydene Estate implemented Xero as its ERP Financial application to establish a scalable cloud accounting backbone for the 30-person Australian retail and hospitality operation. The implementation centralized core accounting and payroll processing in Xero while pairing Xero with Deputy for automated time and attendance and rostering, a configuration advised and demonstrated by SMB Consultants. Deputy was trialed and configured to capture clock ins and outs, publish rosters in advance using the Open Shift capability, and route approved timesheets for one-click export into Xero payroll, enabling end to end staff hours to payroll flow. The solution emphasized automated timesheet capture, approval workflows, and reduction of manual reconciliation. Operational coverage included the Cellar Door, Estate and restaurant teams, many of whom work under the Wine Industry Award, with roster management led by Trudy Merta and payroll and business management led by Emma Williams. Governance changes focused on formalizing timesheet approval, rostering publication cadence, and use of Deputy task and announcement tools to standardize frontline communications. Explicit benefits reported included elimination of paper timesheets, seamless payroll exports to Xero, higher visibility into who is on site and when, and freed managerial time to prioritize customer service and marketing activities. |
