| Oracle | Legacy | Oracle NetSuite ERP | ERP Financial | ERP | n/a | 2018 | 2018 |
In 2018, Imprivata implemented Oracle NetSuite ERP for ERP Financial processes, centering the deployment on order to cash and revenue stewardship. The implementation placed Oracle NetSuite ERP at the core of sales order processing, renewals management, and invoicing workflows managed by the Order Management team.
Configuration and functional scope focused on Order Management, billing and invoicing, renewals processing, revenue recognition controls, customer master data maintenance, and credit limit management within NetSuite. The Order Management team reviews and processes all sales orders and renewals in NetSuite, invoices renewal and sales orders, reviews Sales Operations documentation to identify revenue recognition or collection issues, and updates customer information and credit limits in NetSuite.
The NetSuite deployment was integrated operationally with the Avalara Tax System for tax-exempt certificate management, with tax-exempt certificates uploaded into Avalara and tax approvals recorded back into NetSuite. Operational coverage included the Order Management team based in Lexington, MA, and cross-functional interactions with Sales Operations, Sales Administration, Operations teams, and finance stakeholders, specifically supporting the CFO and FP&A at quarter end to plan order shipments and processing.
Governance and process changes included formalized order review for revenue recognition, role-based responsibilities for uploading tax approvals and maintaining Avalara certificates, training programs for new Order Management employees, and a paperless order documentation system developed to provide transparency to the organization and external auditors. The paperless documentation and the NetSuite centered controls supported audit transparency and clearer communication to Sales Administration and Operations when orders are processed.
