Viewpoint Vista was operated alongside SharePoint, MS Excel, Outlook and Adobe Acrobat, with SharePoint used for document management and storage of AP artifacts, Excel supporting reporting and reconciliation work, Outlook used for vendor and project engineer communications, and Adobe Acrobat used for PDF processing and distribution. Vista by Viewpoint served as the transactional source of record while these adjunct tools supported exceptions handling, vendor setup, statement reconciliation and AP inbox processing. Governance changes focused on process standardization and written procedures for the AP department, converting the group to a largely paperless workflow, resolving vendor statement issues dating back two years, and removing redundancies in prior manual processes. These procedural and tooling changes were designed to ensure invoices flowed through Viewpoint Vista more consistently, maintain internal control requirements, and promote departmental consistency across sites and project teams.
