In 2016 Juniper Networks implemented Coupa Invoice as part of an AP Automation initiative to capture 100 percent of spend and improve supplier and employee adoption. The decision occurred while IT was executing an ERP transition from Oracle to SAP, and procurement set a goal to extend the ERP with Coupa to deliver a consumer-like buying experience across 44 countries.
The deployment centered on Coupa Invoice and was configured to enforce procure-to-pay workflows common to AP Automation, including electronic invoice capture, invoice-to-purchase order matching, approval routing and supplier onboarding. Juniper’s project team prioritized Coupa recommended best-practice processes over custom workflows, keeping configuration lean to accelerate rollout and adoption.
Integrations ran against eight external systems, explicitly including HR, ERP financials and tax software, enabling synchronized supplier master data and financial posting flows. A small internal implementation team of three half-time IT resources and two half-time procurement resources worked directly with the Coupa services team during an eight month implementation window to coordinate technical and data integrations.
Operational rollout used a big bang deployment to suppliers and employees, supplemented by a focused change management approach, live sessions for roughly 50 super users and short task-specific video recordings for end users. The program staffed an early war room for rapid issue resolution and benefited from day-to-day involvement by the head of Procurement to drive adoption and governance.
A year and a half after go-live Juniper Networks reported full adoption with 100 percent of spend flowing through Coupa Invoice, the consumer-like shopping experience directing employees to preferred suppliers. The procurement and IT partnership that extended the ERP with Coupa enabled the AP Automation implementation to achieve universal supplier participation and set the foundation for future expansion onto the Open Business Network and Coupa Sourcing.
