The Advantys WorkflowGen implementation delivered configured workflow modules for invoice processing, accounts payable approvals, IT and hardware requests, new-user provisioning, performance reviews, and project change-of-scope notices. The solution used graphical workflow definitions and automated notifications, and it leveraged version control, advanced search, and shared workspace constructs in iManage WorkSite to enforce single source document control and process traceability. Integrations were explicit and central to the architecture, with Advantys WorkflowGen integrated with iManage WorkSite for document linkage and with enterprise email for automatic capture of messages and attachments into related processes. The WorkflowGen portal was surfaced through SharePoint to provide a unified launch and monitoring interface, and operational coverage included Accounts Payable, IT, Engineering, and cross-departmental request handling with enforced access separations between Karara and contractor teams. Governance and rollout were led by Karara’s Knowledge Co-ordinator supported by Office Information Australia, using a structured change program of communications, training, and targeted data migration. Content migration and taxonomy design were executed to ensure intuitive findability after cutover, and user training emphasized the burning platform and new interaction patterns to accelerate adoption. Document and workflow consolidation produced stated business effects reported by Karara, including staff productivity improvements with some teams observing savings up to half a day per week, tighter control over misfiling and accidental deletion, preserved confidentiality through access controls, and increased cost visibility on request forms. Advantys WorkflowGen, tightly coupled with iManage WorkSite and surfaced via SharePoint, serves Karara Mining as a Workflow Management platform for enterprise process control and information governance.
