In 2007, Keck Medicine of USC implemented UKG Workforce Central (ex Kronos Workforce Central) for Workforce Management. The Kronos Ver. 6.1 implementation launched as a phased program beginning with a Time Keeper phase that covered 3,000 active users and supported 10 million in monthly payroll, managed by a 45 person stakeholder group and an approximate 1.5 million budget.
The implementation delivered core Workforce Management capabilities including timekeeping, advanced scheduling and a custom analytics layer. Phase I configured time and attendance rules, pay codes, Kronos clocks at onsite and offsite hospital locations, and payroll data conversion and cleansing. Phase II deployed Workforce Scheduler into 16 critical nursing units and pharmacy, migrating users from Optilink 6 PCSS Staffrunner and integrating Optilink plus patient acuity feeds to drive nurse staffing ratios. Phase III established an organizationally tailored Workforce Analytics and Business Intelligence capability to surface real time productivity data.
Integration work was extensive and explicit, UKG Workforce Central was interfaced with HR systems, Payroll, Cerner EMR and downstream enterprise systems, and the implementation included contracts management and vendor coordination. Infrastructure was stood up in the USC Health Sciences Campus environment, involving hardware and software procurement and a migration of iSeries hardware from an external hosting environment managed by Dell and Tenet to onsite operations integrated with the hospital enterprise infrastructure. Kronos clocks, data interfaces and Cerner power forms were instrumented to capture device days, patient isolation and staff ratios for ICU workflows.
Governance and process changes were formalized through organization map creation, revision of work rules and pay codes, and automation of employee requests, skills and certificate tracking, education credit management, and contractor and travel nurse administration within the system. Training and rollout coordination was conducted with the education department and the Kronos vendor, delivering training to more than 2,500 end users in Phase I and 792 end users for the scheduler phase, spanning executives, directors, managers and frontline staff.
The program delivered the one year Phase I on a six month timeline, in scope and under budget, and eliminated 95 percent of daily paperwork by automating employee transactions and compliance tracking, saving managers more than 24 hours of reconciliation prior to each payroll close. A one year onboarding schedule was created for the remaining 110 hospital units for advanced scheduling, and the ongoing Workforce Analytics initiative was designed to provide KPI monitoring, benchmarking and forecasting to improve resource management.
