In 2020 Kyocera implemented SAP S/4 HANA as its ERP Financial system. The Management Information System Department together with in house SE teams led the deployment to support business management systems across Kyocera and its group companies in Japan and overseas.
The SAP S/4 HANA implementation focused on core financial and business management capabilities, configured to support accounting functions and transactional domains explicitly cited in internal requirements, including sales, procurement, and accounting systems. Configuration work included general ledger, accounts payable, accounts receivable, and order to cash and procure to pay workflows, with emphasis on core data consolidation to feed management dashboards.
Integrations were executed to connect SAP S/4 HANA to site level systems and overseas affiliated company environments, enabling centralized use of core data for group reporting and management dashboards. The program also aligned with parallel digitalization initiatives, leveraging core data for AI OCR automation of FAX orders and for AI video analysis used in precious metal management, positioning SAP S/4 HANA as the authoritative financial and operational data source.
Governance and operational ownership remained within the Management Information System Department, with in house SEs and project leads managing requirements definition, design, deployment, operation and maintenance. In 2017, Kyocera implemented SAP Concur Travel for Travel Management as a cloud-based business trip and expense management service with support from IBM Global Business Services. The initiative targeted digitization of the company-wide travel expense settlement flow across head office, factories, and offices nationwide, focusing on finance and indirect operations in the manufacturing environment. The program began as a pilot at the head office and jurisdictional bases and completed full national deployment in about one and a half years.
Configuration concentrated on SAP Concur Travel capabilities for expense reimbursement, travel request workflows, approval routing, and paperless receipt handling, adapting approval and exception controls to Kyocera's organizational rules. IBM Global Business Services assisted with solution tailoring, planning, and schedule management to align Concur configuration with Kyocera's unique operational requirements and site level differences.
Integrations and operational coverage included coordination with passport arrangement processes and extension of Concur using IBM's Concur function expansion service, which introduced an outlier detection capability to identify omissions and duplicate applications. The deployment covered users at the head office and bases nationwide, enabling remote operations for both users and indirect departments during the subsequent COVID period, and impacted business functions such as travel expense settlement, finance approvals, and indirect operations productivity.
Governance and rollout followed a phased pilot then staged expansion model, relying on on-site employee engagement and IBM GBS-led change management to drive adoption across sites. The deployment achieved Kyocera's target reduction in travel expense settlement man-hours of about 30 percent, approximately 3,000 hours in the month following completion, and Kyocera plans to leverage accumulated system data and IBM's extensions to further prevent application mistakes and improve indirect operations efficiency.
