In 2016, Landscape Structures implemented MetaViewer to address inefficient, paper intensive accounts payable workflows and to modernize document management in their AP function, using the AP Automation application to centralize invoice processing. The decision followed demonstrations of MetaViewer Paperless Automation and a cross functional evaluation led by accounting and IT, with the implementation scoped to transform AP capture, approval, and matching workflows.
MetaViewer was configured to provide OCR based invoice capture, customized Vendor Profile Creation, document storage and automated workflow orchestration, preserving existing PO, receipt and invoice matching processes in Microsoft Dynamics AX. The implementation emphasized a user friendly interface and configurable capture rules to reduce manual data entry, and the solution combined document management and AP Automation capabilities in a single package.
Integration work centered on a streamlined connection to Microsoft Dynamics AX, retaining AX financial functionality while synchronizing vendor, PO and invoice records between systems. The deployment involved the accounting and IT teams, with operational ownership remaining in AP, and the integration approach minimized impact on the infrastructure and support model according to internal IT leadership.
Operational governance shifted to exception based processing and queue visibility, enabling managers to see where invoices were sitting in approval flows and reducing reliance on paper routing. Workflows were restructured so AP could focus on exception handling and review instead of keying and duplication, leveraging automated routing and vendor profile data to enforce approval policies.
The implementation completed in four months and delivered the stated AP Automation outcomes reported by the customer, including a 30 percent time savings and elimination of expected paper, printing and scanning costs. Landscape Structures reported the ability to maintain staffing levels while increasing invoice volume, greater confidence in processing accuracy, and plans to expand MetaViewer usage across other enterprise processes with an expected further reduction in effort.
