Exact Software Legacy Exact Synergy Document Management Content Management n/a 2018 2018
In 2018, Lekkerkerker Dairy & Food Equipment implemented Exact Synergy for Document Management. The implementation was executed at the Lopik site for an 80-employee manufacturing and equipment business, and focused on formalizing document flows and introducing workflow automation across operational teams. Exact Synergy was positioned as the central document repository to support document control and workflow orchestration alongside existing operational applications. Configuration work emphasized Document Management capabilities, including structured document repositories, workflow orchestration for document approvals, and role based access controls. The project explicitly ran in parallel with Exact WMS and TimeTell activities, and integrated document workflows with label printing through Bartender and with data capture from handscanners. Reporting design and requirements translation were used to align document processes with operational data and timekeeping information. Operational coverage included warehouse operations, timekeeping and HR interfaces, and the broader operations teams responsible for parts, labels and work instructions. Integration points identified in the implementation included Exact WMS, TimeTell, Bartender and handscanner devices, with Exact Synergy acting as the document management hub orchestrating flows to those systems. Functional testing was performed with end users to validate integrations and data flows. Governance and rollout comprised project planning, coordination with external ICT suppliers, functional testing with end users, training of key users and end users, and creation of user documentation such as work instructions and FAQs. Process optimization work included process description and architecture, value chain and communication line mapping, policy impact analysis and sketching a future state to further automate document workflows. Ongoing operational responsibilities recorded in the role included functional management, user support for Exact WMS and Exact Synergy, translating business needs into ICT requirements and producing operational reports.
