In 2015, Machine Zone implemented Oracle NetSuite ERP as its central ERP Financial system to consolidate accounts payable and expense workflows across the finance organization. The deployment focused on AP processing and expense management, positioning Oracle NetSuite ERP as the transactional backbone for invoice routing, payment application, and expense report reconciliation.
Machine Zone built an internal AP practice and hired a team of 3 AP specialists, providing formal training in advanced Excel skills and backend NetSuite processes. The implementation included creation of AP desktop procedures and onboarding materials for users new to Concur and NetSuite, and the finance team configured backend workflows to support invoice entry, approval routing, and batch payment processing.
Integrations and operational coverage centered on expense tooling and vendor interactions, with Concur explicitly administered alongside NetSuite to resolve travel arrangement exceptions, credit card mapping, and employee expense report issues. Operational activities included monitoring a vendor mailbox of approximately 100 plus emails per day and approving roughly 1,500 invoices per month, indicating NetSuite was integrated into daily vendor management and AP inbox workflows.
Governance and process changes were driven by collaboration with department managers to redesign approval flows and improve visibility into monthly business expenses. Practical automation work included replacing a manual one-by-one payment application process with an upload template for NetSuite that reduced payment application time from three to four hours down to about 15 minutes, and documented AP procedures to standardize training and operational handoffs.

Lever by Employ was used to centralize candidate records and standardize pipeline stage definitions across hiring teams.
Operationally the deployment covers Machine Zone's recruiting and talent acquisition functions, routing web-sourced applicants into centralized review and interview scheduling workflows. The Lever by Employ Applicant Tracking System replaced Jobvite as the company ATS, consolidating online application intake on the Lever careers endpoint and aligning hiring processes under a single recruiting platform.
