In 2021 Maxmed Healthcare deployed Odoo Invoicing as part of a broader Odoo suite implemented and delivered by Itransition Group, hosted on Odoo.sh. The rollout included core modules Contacts, CRM, Sales, Invoicing, Timesheet, Project, Purchase, Employees, Leaves/Time Off, Recruitment, Helpdesk, Documents, eSign, and Payroll data import, aligning finance and contract billing under a centralized platform. This deployment targeted tender management, contract administration, and accounts receivable and accounts payable workflows, positioning Odoo Invoicing within the AP Automation category to support billing tied to time-and-material contracts.
The implementation configured Odoo Invoicing to generate client invoices from employee timesheets, with invoice calculation logic altered to use timesheet entries for a selected billing period. Sales Order was relabeled Contracts and linked to Opportunity cards in CRM to maintain tender to contract traceability, while Projects were used to break contracts into tasks and assign staff. Custom features included contract requirement checklists, contract lifecycle notifications at 90, 30, and 15 days before end date, de-obligation to reduce assigned hours and resynchronize remaining work estimates, and archiving for completed contracts.
Integration work established a daily Paycom export into a Paycom FTP server, followed by Odoo collection and parsing to populate Recruitment, Employees, Payroll, and Timesheet modules, enabling timesheet-driven invoicing. Document management was extended with third-party OneDrive and Google Drive connectors enhanced via OAuth2 and REST API, and a Google Drive picker for import and real-time editing workflows, all tied into the Odoo Documents and eSign modules. Data migration scripts in Python ingested Unity database backups and Excel spreadsheets, converted binary attachments from Unity into standard DOC XLS and PDF files, and created timesheets first to enable correct invoice generation in Odoo Invoicing.
Governance and process restructuring emphasized a data migration roadmap that sequenced interdependent objects first, stakeholder reconciliation to correct source data inaccuracies, and the establishment of single point of access for tender, contract, and employee records. Operational changes included standardized checklist templates for tender and contract approvals, linkage of Helpdesk tickets to Employee records and Notices for disciplinary tracking, and calendar and discuss features to centralize internal scheduling and communications. Itransition implemented custom templates and automation to align budgeting, payroll parameters by US state tax rules, and document expiration alerts for HR compliance.
The delivered Odoo Invoicing capability within the AP Automation scope produced a unified CRM ERP HR environment that centralized tender, contract, employee, and financial data. As an outcome explicitly recorded by the project team, the unified solution enables Maxmed Healthcare to store all their data in one place and eliminates the need for separate updates and synchronization across disconnected tools, simplifying tender and project management workflows.

Itransition Group delivered the Odoo HR implementation with targeted customizations, configuring recruitment workflows, employee information management, and document repository capabilities inside the Odoo suite. The solution embedded tender- and contract-related business processes alongside HR capabilities, enabling the organization to manage contracts, ongoing and completed tenders, and associated employee assignments in the same platform.
Itransition performed data migration and carefully transferred all documents from the customer’s prior disparate solutions into the Odoo system, and integrated HR records with the Odoo CRM and ERP modules to synchronize employee and financial data. Operational coverage spanned HR, contract and tender management, and finance workflows, consolidating previously disjointed systems into a single operational environment.
Governance and rollout were grounded in a presales workflow analysis by Itransition’s ERP Center of Excellence, which determined that Odoo enriched with customizations could meet Maxmed Healthcare’s requirements. Itransition delivered the implemented Odoo HR application and associated data migration, resulting in a unified CRM/ERP/HR environment that significantly simplified and accelerated Maxmed Healthcare’s operations.
