Maxmed Healthcare is headquartered in San Antonio, Texas, employs 135 people, and provisioned 10 active Odoo users to manage tender and contract workflows. The implementation reconfigured the Sales module into a contract management engine, Odoo Sales was adapted so Sales Order records are treated as Contracts and linked directly to Opportunity cards in the CRM. The CRM received custom tender pipeline parsing that creates Opportunity cards from tender newsletters and webpages, checklist templates for tender and contract readiness, a custom budget calculation tab on Opportunity cards, and automated PDF proposal assembly that merges Documents and Google Drive attachments. Timesheet and Project modules were configured to feed contract execution workflows, while Project templates and a de-obligation feature allow dynamic adjustment of assigned hours across tasks and contracts. Itransition integrated the Odoo solution with Paycom for HR and payroll data via a daily Paycom report exported to an FTP server, an Odoo collector and parser that maps Paycom fields to Odoo Recruitment, Employees, Timesheets, and Payroll modules. Document management was extended with third-party OneDrive and Google Drive modules and OAuth2 REST API connectors to enable in-place editing, folder creation logic, and file import. Procurement and subcontractor workflows were implemented using the out-of-the-box Purchase module to request quotations, order services, confirm receipts, and validate invoices for outsourced staffing. Governance and operational controls were added to support tender-driven staffing and federal contract requirements, including automated notifications for contract termination at 90, 30, and 15 days, archival procedures for completed contracts and projects, document expiry tracking on employee records, and an integrated Helpdesk to link client complaints to employee notices and disciplinary records. Data migration followed a prioritized roadmap, Itransition extracted Unity database backups with Microsoft SQL, converted binary attachments to modern formats, aligned Excel financial sheets to Odoo templates, and ran Python scripts to import timesheets first and then generate Invoicing records to preserve time-based billing relationships. The resulting Odoo Sales centered solution, classified under Sales Automation,Sales Engagement, unified tender sourcing, budgeting, contract creation, time capture, invoicing, procurement, and HR records into a single platform. The implementation enabled Maxmed Healthcare to centralize documents and transactional data, reduce reliance on disconnected tools, and provide a single point of access for tender and contract management while retaining Paycom for core payroll functions.
