In 2020 Melbourne Archdiocese Catholic Schools implemented TechnologyOne Student Management as part of its Education ERP portfolio. The deployment formed a core element of the ICON platform used across the school network and targeted centralized student administration and enrolment services alongside existing enterprise HR and financial systems.
TechnologyOne Student Management was configured to support standard Education ERP capabilities including student records, enrolment workflows, attendance tracking, assessment and reporting, timetable management, and administrative case workflows. Configuration work emphasized role-based access and process automation for school administration and teaching staff, with template-driven assessment and reporting functions typical for an education ERP deployment.
The implementation adhered to ICON upgrade management practices, recognizing the need to coordinate changes across TechnologyOne financial and HR modules and other ICON applications. Upgrades and regression testing were staged across non-production environments for testing, training, and support prior to production promotion, with formal testing windows typically running between December and April. The program documented scheduled production upgrades for financial and HR modules in April and for student management components in January, while acknowledging that unplanned releases may be issued during the year to resolve service issues.
Governance focused on minimizing disruption to school operations, scheduling upgrade windows to align with the academic calendar, and communicating in advance to schools when operational impact was anticipated. Implementation planning identified common operational risks including the complexity of regression testing across integrated systems, the costs of maintaining current product versions, and variable availability of internal and external resources required to execute upgrades. Releases generally included product fixes and new enhancements, and the governance model incorporated notification procedures and staged deployments for training and support prior to production rollouts.
