In 2016 Merriwa Industries implemented Sage Pastel Accounting as its ERP Financial application to centralize accounting and management reporting for the not-for-profit organisation. The deployment was scoped to support corporate finance and management accounting across ten cost centres and nine sub cost centres used for internal reporting to the CEO and Board.
Sage Pastel Accounting was configured to support core finance modules including transaction processing, accounts payable, accounts receivable, general ledger reconciliation, fixed asset register and depreciation scheduling, BAS and FBT reporting, budgeting and management reporting. The implementation was also used to coordinate and monitor cash flow and to generate the Profit and Loss, Balance Sheet, Cashflow and debtor and creditor reports required for monthly board packs and annual reporting.
Operationally the system coexisted with HR3 Payroll, which continued to process payroll for over 250 employees while Sage Pastel Accounting handled the accounting posting and cash reconciliation workflows. Day-to-day usage covered the finance, accounts payable, accounts receivable and management accounting teams, with the Finance Manager supervising AR and AP officers and delivering onboarding and ongoing training tied to the accounting system and reporting processes.
Governance of the solution was managed through the Finance Manager who retained direct accountability to the CEO and Board and who managed the organisation’s financial reporting and accounting software function to optimise electronic information and infrastructure. As part of the finance operations supported by Sage Pastel Accounting the team prepared monthly BAS statements including PAYG instalments, annual FBT returns and external audit packs, and managed accounts collections activities that reduced the organisation’s average outstanding receivable balance.

The HR3 Kiosk deployment ran alongside a set of parallel system changes underway in 2016, including a Client Information Management System that incorporated OH&S incident reporting, TIMMS for inventory and production control which was fully operational at Gibson Street and prepared for rollout at Greta Road, and Sage EVO for procurement control to enforce purchasing authorities. Merriwa also consolidated IT administration through a third party for support and tracking, creating an operational technology landscape where ReadyTech HR3 Kiosk served the workforce administration layer within a broader set of functional systems.
Governance followed a considered rollout approach emphasizing incremental adoption, small wins and staged capability expansion, with the stated objectives of reduced administration, greater accountability and more relevant and compliant information. Merriwa signaled that with the National Disability Insurance Scheme transition for the Hume region scheduled for October 2017, ReadyTech HR3 Kiosk and the surrounding systems would be further developed to ensure smooth transition for clients and alignment of operational systems with emerging regulatory and service requirements.
