NEOGOV Legacy NEOGOV eForms Document Management Content Management n/a 2020 2020
In 2020, Nassau County, FL implemented NEOGOV eForms as a Document Management solution, completing a countywide deployment of NeoGov’s Onboarding and eForms software to centralize Human Resources form workflows and onboarding processes. The project was positioned to advance technology in HR operations and improve efficiency, with an explicit objective to reduce paper by scanning and purging HR documents in accordance with the State of Florida General Records Schedule. NEOGOV eForms was configured to manage electronic onboarding and eForm templates for personnel files, job postings, and personnel matters, and to support automated submission and approval workflows aligned to supervisory roles. The implementation included supervisory training and process configuration to enable annual open enrollment meetings and training on new benefit options, while continuing elections through the county benefits software. Operational coverage focused on the county Human Resources function, extending to benefits administration, motor vehicle record checks, and internal compliance audits such as I-9, allocated employee listings, insurance files, personnel files, driver license records, and FMLA files. The program also included ongoing data hygiene work to update and correct Munis fields, specifically certifications and driver license information, and coordination with the county insurance broker for employee benefits negotiations. Governance and process changes accompanied the technical rollout, with updates to county policies as needed, preparation to revamp policies related to Local 630 employees if legislative changes occur, and continued annual and quarterly HR activities. Wellness program coordination was retained as part of HR operations, supporting the Annual Employee Wellness Expo, expanded biometric screenings, flu shot offerings, quarterly well being challenges, and quarterly well being video education, all integrated into the broader NEOGOV eForms Document Management approach to improve HR administrative efficiency.
