In 2019, New Zealand Defence Force implemented APX SmartBill to centralize travel billing and ingest travel charges into its finance stack. The deployment addressed AP Automation by creating a single consolidated invoice stream for domestic and international travel in New Zealand, aligning travel spend with centralized accounts payable processes.
APX SmartBill was configured as a consolidated electronic billing solution that normalized supplier travel charges into one invoice flow, reducing manual aggregation of travel transactions. Functional capabilities focused on consolidated invoicing and reconciliation support, improving visibility of travel expenditure across finance and procurement teams.
The implementation integrated travel charges into NZDF's SAP financial management environment, enabling invoice capture and processing inside SAP driven workflows. Operational coverage included domestic and international travel charges for NZDF, and the system was positioned to support accounts payable and travel cost accounting within the organization.
Governance and process changes removed repetitive manual reconciliation tasks, and APX documents that the deployment reduced at least one FTE by eliminating manual reconciliation work.
