In 2019, Oceania Aviation deployed Ocerra AP Automation to automate the processing of approximately 40,000 supplier invoices per year. The cloud based Ocerra AP Automation implementation was scoped to support Accounts Payable, Finance and Supply Chain teams within the aviation business to ensure detailed invoice, transaction and inventory data was captured accurately.
The deployment emphasized invoice capture and PO matching modules, including machine learning driven document recognition to read complex invoice layouts and extract part numbers, serial numbers, batch numbers, descriptions and line level quantities and prices. Ocerra AP Automation was configured with exception handling workflows so the Accounts Payable team only needed to process mismatches or invoices without purchase orders, and custom invoice statuses and labels were created to support operational triage.
A custom integration was built to synchronise master and transactional data with the company accounting system Odoo, enabling automated synchronisation of accounts, suppliers, tax rates, inventory, purchase and job orders. The integration matched invoices back to Purchase Order receipts so invoice line items could be validated against receipted PO lines, and a bespoke dashboard was configured to automatically sort incoming invoices into buckets based on business rules such as receipted status and PO line matches.
Operational governance shifted to an exceptions driven AP model, with process rules routing non matched items for review and routine invoices processed automatically. The project delivered centralised invoice data access and tracking, with reported outcomes that include an 80% decrease in accounts payable processing time, 100% visibility of invoices, reduced employee headcount and elimination of temporary data entry hires during peak season.
