In 2014, OrthoVirginia deployed Artsyl InvoiceAction as part of an AP Automation initiative to digitize and scale accounts payable across a statewide, multi-facility orthopaedic network. Artsyl InvoiceAction was implemented to provide automated invoice capture and extraction capabilities, enabling the organization to reduce manual document handling and support a centralized document management strategy.
The implementation centered on capture and data extraction functionality, using docAlpha technology to ingest supplier invoices, extract line and header metadata, and populate coding fields for workflow routing. Artsyl InvoiceAction was configured to automate coding and approval routing, reducing hands-on data entry by OrthoVirginia's two person AP team and enabling programmatic metadata enrichment for DocLink records.
Integration work focused on publishing indexed invoice images and extracted metadata into Altec DocLink enterprise content management, creating a single repository for AP documents and approval history. The deployment followed the organizationwide move to electronic records after an earlier Epic electronic medical records rollout, and it supported AP processing across multiple locations, consolidating invoice workflows for finance and accounts payable.
Governance changes included formalizing automated routing and approval workflows within DocLink and updating AP processing steps to rely on extracted metadata rather than manual coding. With Artsyl InvoiceAction and docAlpha feeding DocLink, OrthoVirginia reported the operational ability to process 25,000 invoices annually and stated they can scale invoice velocity without increasing headcount.

The deployment was scoped to support HR and finance payroll administration, compliance reporting, and routine payroll operations.
The engagement assisted OrthoVirginia to successfully transition to ADP Workforce Now Payroll, using phased cutover activities, payroll validation cycles, and targeted training for payroll administrators and HR business partners. Governance and process workstreams established centralized payroll ownership, formalized standard operating procedures for payroll runs, exception handling workflows, and scheduled reconciliation processes to support ongoing payroll accuracy. Reporting and payroll tax filing automation were configured to support recurring payroll cycles and regulatory requirements common to the Payroll category. The implementation consolidated payroll operations under ADP Workforce Now Payroll and introduced procedural controls for payroll governance and operational continuity.

In 2017 OrthoVirginia implemented EPIC EHR across its ambulatory orthopedic network following consolidation of five independent practices, deploying the Electronic Health Record to 25 clinic sites and to the physician and clinical support workforce. The implementation emphasized clinical documentation and provider workflow stabilization as primary objectives for an enterprise outpatient EHR rollout.
Configuration work focused on clinician-facing documentation capabilities within EPIC EHR, including templated note structures, voice recognition-enabled documentation workflows, and formalized scribe workflows. OrthoVirginia organized functional configuration around physician usability, assigning dedicated physician support specialists as embedded superusers to provide day-to-day troubleshooting, teach targeted topics, and validate that configuration changes were adopted in clinical practice.
Operational integration extended beyond configuration to include a liaison model between the internal EHR team and the vendor, with physician support specialists serving as intermediaries who translated clinical needs to the Epic team and relayed build changes back to providers. The deployment therefore combined EPIC EHR technical configuration with process-level integrations into the organization’s scribe program and clinician education workflows, covering outpatient physicians and ambulatory clinical staff across all clinics.
Governance changes included creation of the physician support specialist role, activation of physician champions to collaborate on larger projects, and a shift from reactive ticketing to proactive rounding and targeted education.
