DataServ AutoVouch provided automated workflow processing for non PO approvals through an approval matrix, automated two and three way matching with exception routing, document retention and storage management, and direct ship automation that flags the receipts module for goods received and triggers customer invoice generation.
Integration points included persistent image and data links into OTCs ERP for reference, and a direct ship signal to OTCs receipts module to indicate manufacturer receipt and support downstream invoicing. Operational coverage extended across OTCs regional locations and service shops, and business functions impacted included accounts payable, receiving, order to cash invoicing for direct ship scenarios, and accounts coding and approvals.
Governance was formalized through automated exception routing and an approval matrix to replace manual paper routing and file tracking, with workflows configured to assign exception status and route issues for resolution. The project delivered explicit outcomes, including elimination of many manual tasks, 99 percent pre ERP data accuracy compared with a prior 60 percent accuracy rate, and a meaningful reduction in a previously reported three week document processing backlog.
