In 2020, Our Kloud implemented Xero Accounting to centralize invoicing and billing workflows as part of its ERP Financial capability. The deployment targeted the companys Billing and Accounts function and aligned with regional operations across Australia and Europe, supporting staff in Sydney, Melbourne, Brisbane and Europe who manage customer invoicing and onboarding.
The implementation focused on core invoicing and billing modules within Xero Accounting, including customer onboarding, billing ticket handling and notifications, risk review workflows, and reporting and analytics. The Billing and Accounts team conducted user acceptance testing and production verification testing and documented system requirements to support ongoing process improvements and future developments.
The Xero Accounting instance was integrated into internal operations through ticketing and notification feeds and coordinated closely with IT, Managed Services, Procurement, Deployment and other administrative teams to resolve billing issues and progress project work. Operational coverage emphasized front-line support for AU and Europe based operations, with Billing and Accounts team members providing daily monitoring of reported issues, commentary generation for ERP system discrepancies, and direct engagement with internal stakeholders.
Governance for the deployment was structured around the Billings and Accounts Supervisor, with defined escalation pathways and responsibilities for maintaining straight through processing of activations and billing accounts. The Billing and Accounts team documented business requirements for change projects and maintained UAT and PVT processes to govern releases and systemic process improvements. Xero Accounting remains the central ERP Financial application for Our Klouds billing, invoicing and related financial reporting activities.
