In 2006, Party City implemented Oracle e-Business Suite Accounts Payable. The deployment targeted AP Automation to centralize marketing invoice processing and supplier payment workflows supporting Marketing and Finance functions across the corporation.
The implementation configured invoice validation and three-way matching capabilities to verify items billed against items ordered and received, and to reconcile differences through vendor follow-up and internal escalation. Oracle e-Business Suite Accounts Payable was used to operate sales ledger invoice posting and purchase ledger controls, including authorization gates where purchase invoices require approval from designated approvers and payment runs are executed based on invoices approved by the Financial Accountant and Finance Director. The system also supported program-specific processing such as gift card reimbursements, promotional and sports marketing invoice routing, and fundraising donation check requests.
Operational integrations and data flows linked the Accounts Payable processes to the Oracle ledger for payment orchestration and to external reporting channels referenced in internal notes, including 1010 and Retail Net applications for weekly collections and reporting. The implementation required coordination with Logistics for bill-to and ship-to determinations, with Production and Graphics for creative and SKU data, and with Legal for memorandum of understanding routing for cause marketing campaigns, reflecting a cross-functional operational footprint.
Governance was formalized around invoice authorization, vendor communication protocols, and reconciliations, with monthly analysis of incoming invoices and outgoing payments maintained to preserve efficiency. Processes were extended into operational playbooks for cause marketing and sports marketing activities, including fundraising calendars, approval routing for artwork and invoices, and centralized tracking of key product licenses and point-of-sale prompts.
