Artsyl Legacy Artsyl InvoiceAction AP Automation ERP n/a 2016 2016
In 2016, Precoat Metals deployed Artsyl InvoiceAction to centralize accounts payable and automate vendor invoice intake as part of an AP Automation initiative. The deployment targeted regional AP offices that had been printing, scanning and manually profiling emailed invoices into WebDocs while re-keying invoice data into their AS/400 ERP, shifting those tasks into a centralized, automated intake pipeline. The implementation leveraged Artsyl’s docAlpha Transformation Platform alongside Artsyl InvoiceAction, integrated with RJS HelpSystems WebDocs and the AS/400 ERP to provide inbox monitoring, document classification and data extraction that uploads structured invoice content into WebDocs for automated three way PO matching. Extraction and validation capabilities were used to handle high‑volume, multi page vendor invoices, and exceptions were routed into review queues for AP staff to resolve while the majority of invoices progressed end to end without manual data entry. Operational coverage encompassed all regional AP sites and centralized AP staff, enabling continuous intake from vendor email attachments through matching and transaction creation in AS/400. Business functions impacted included accounts payable, general accounting and financial analysis, allowing the organization to reassign four full time employees into higher level accounting and finance roles as invoice handling work decreased. Governance changes included a centralized matching workflow, exception handling procedures for AP reviewers and broadened access for financial buyer roles to view invoices across the enterprise, reflecting the CFO directive to centralize and automate AP processes within a short timeline. The solution preserved auditability by retaining document images and match trails in WebDocs while automating imports into the AS/400 system. Precoat Metals reported substantially reduced paper handling and improved process visibility and control after the Artsyl InvoiceAction deployment. According to the company, the combined docAlpha and WebDocs workflow allowed invoices to be matched and imported into AS/400 without manual intervention for the bulk of transactions, while exceptions remained manageable through the new centralized review workflows.
