In 2017, Probiotec implemented SAP Business One as its ERP Financial system. The deployment targeted the group's manufacturing and packing operations across multiple Australian sites, supporting finance, procurement, inventory valuation, and production-related financial controls for more than 1000 employees.
SAP Business One was configured to deliver core financial modules including general ledger, accounts payable, accounts receivable, fixed assets, and cost accounting, aligned with manufacturing cost centers and packing lines. Inventory valuation and order-to-cash workflows were instrumented to reflect batch-controlled product movements and reconciliation between production and finance.
The implementation was provisioned on a virtualized infrastructure using Microsoft Hyper-V and VMware vSphere and protected with Veeam backup and recovery, integrating with the corporate Microsoft 365 identity environment managed through Intune for endpoint and identity controls. Reporting and analytics were integrated with Qlik Analytics to surface financial and operational reports, while the underlying network stack used Ubiquiti and Ruckus WiFi at site level.
Operational governance emphasized centralized IT configuration with Systems Support Engineer resources providing local support, system installation, asset and license management, user training, and routine maintenance in manufacturing settings. Rollout and runbook practices focused on aligning SAP Business One financial controls with procurement and inventory processes to support consistent accounting and operational coordination across the Probiotec group.

In 2015, Probiotec implemented MYOB Exo Payroll to manage its Payroll operations for approximately 300 employees on monthly and fortnightly cycles. The deployment consolidated payroll processing across multiple Australian states and extended operational oversight to the companys UK and Ireland payroll and VAT reconciliation responsibilities.
Configuration centered on end to end payroll processing and termination payment workflows, including calculation and processing of resignations and redundancies. Functional capabilities configured in MYOB Exo Payroll include payroll tax, PAYG and superannuation reconciliation and lodgement, end of month wage reconciliations, end of year processes, and the installation and setup of Single Touch Payroll reporting.
Operational integrations included installing Single Touch Payroll reporting into MYOB Exo Payroll and assisting with a Kiosk implementation to capture production employee leave for payroll feeds. The implementation supported cross functional coverage with Accounts Receivable for customer invoicing and dispute resolution, coordination with OHS for workers compensation calculations and return to work processes, and management of worker insurance for interstate employees.
Governance and process restructuring emphasized standardized payroll controls and compliance reviews for all payroll runs to eliminate overpayments, and the migration of more than 200 payroll users to a new enterprise bargaining agreement. Documented achievements include standardized and improved payroll reporting and data analysis, successful handling of Australian Taxation Office superannuation audits and WorkSafe Victoria audits, and continued support for month end and year end financial consolidation and lodgments.

In 2012, Probiotec implemented QAD Adaptive ERP (ex MFG/PRO) to consolidate core Manufacturing ERP processes across its Australian operations. The deployment focused on supporting supply chain planning, production scheduling and inventory control for Probiotec Ltd, including activities at the Laverton North site and roles such as supply chain analysts, demand planners and buyers.
Configuration and module work emphasized planning parameter tuning within QAD Adaptive ERP (ex MFG/PRO), demand planning and forecasting for over 100 retail SKUs, master production scheduling, materials requirements planning and procurement workflows. Functional capabilities put into use included inventory management overseeing more than $4m of stock, new product development and product exit controls, and management of toll manufacturing contracts for key FMCG SKUs.
Operational coverage extended across supply chain, demand planning, procurement, production planning and senior management reporting, with bespoke database queries and reports developed to inform inventory rationalization, product rationalisation and purchasing decisions. The implementation supported cross functional data flows between planning, purchasing and production teams to operationalize forecast and purchase plan adjustments.
Governance and process changes included instituting a coordinated forecast review process, embedding planning parameter recommendations to target inventory reductions and reduce operational risk, and formalizing workflows for NPD and product exit. Day to day operations were adjusted to centralize demand planning, purchasing negotiations and inventory optimization through the QAD Adaptive ERP platform, using management reporting to drive decision making.
