In 2017 Rockcliff Energy implemented DocVue Finance & Accounting as its ERP Financial application. The deployment concentrated on accounts payable operations executed by Rockcliff Energy Management in Houston, TX, handling incoming invoices, check requests, and expense reports with an average intake of approximately 1500 items per week.
DocVue Finance & Accounting was configured to support core accounts payable capabilities including invoice intake and validation, AFE identification and exception routing, batch creation and correction, payment transfers, weekly check runs, void and void and reissue check processing, month end close activities, and land lease payment processing. The implementation included reporting workflows for running system reports and review processes for accuracy and proper authorization and approval.
Operational integration included uploading vendor invoices in Bolo from DocVue as part of the invoice upload workflow, with AP staff reviewing data entry for accuracy prior to batch processing. The scope of operations covered the AP function and related finance processes, with the Accounts Payable Lead responsible for transaction review, training other employees on processes, and maintaining operational continuity in Houston.
Governance and process controls were formalized in the system around release and hold rules for invoice payment, batch transfer and correction procedures, and AFE correction workflows to route issues for resolution. Training and role-based review were embedded as part of the operational rollout to ensure consistent authorization, batch handling, and month end close discipline.
