In 2021, Rotherham NHS Foundation Trust implemented Microsoft Power Automate (ex Flow) as part of a Process Mining initiative to extend clinical communications across the Trust. The work was initiated by the informatics team after the Medical Director created a Teams channel to communicate with doctors, and the deployment targeted timely broadcast messaging to clinicians across the organisation.
Microsoft Power Automate (ex Flow) was configured to orchestrate a simple event driven workflow, where a message posted to the designated Teams channel triggers a flow that relays content to the Trusts mobile texting provider. The implementation focused on message transformation and delivery logic, ensuring Teams posts became SMS notifications so clinicians who were not signed into Teams still received messages.
The solution integrated Microsoft Teams with a third party mobile texting provider, the integration layer being implemented by SI VAR OX.DH working with the informatics team. Operational coverage centered on clinical communications and executive notifications from the Medical Director to doctors across the Trust, with the informatics team responsible for configuration and ongoing runbook maintenance.
Governance was managed through the informatics team who defined the channel based workflow and access controls for posting messages, and operational ownership for the flows was held by clinical informatics. Because of the integration into Teams, now when the medical director sends a message in the Teams channel, all of the doctors also receive a text message.
