In 2018, Rothy's migrated its financial and operational systems from Intuit QuickBooks Enterprise to SAP Business ByDesign, implementing a cloud ERP solution in the ERP Financial category. The program was scoped to centralize finance, order management, and operations to support rapid scaling tied to expanding Chinese manufacturing and sharply growing direct to consumer order volumes.
SAP Business ByDesign was configured to centralize core financial management, automated revenue and returns accounting, cost accounting, and real-time reporting aligned to ERP Financial workflows. Cloud native capabilities such as multi-currency support, multi-language localization, and role based dashboards were leveraged to support ecommerce operations, while the company staged activation of secondary modules to preserve agility.
Integrations formed a critical element of the architecture, with Shopify and the 3PL logistics provider linked into SAP Business ByDesign via middleware. Navigator Business Solutions delivered iConnect middleware for prebuilt Shopify connectivity and built custom interfaces to a proprietary warehouse management system and to the returns provider Happy Returns, with the proprietary WMS integration requiring multiple iterations due to nonstandard APIs.
Governance and rollout were led internally by Ulion Riebe and Heather Howard, supported by the controller, the director of planning and distribution, a dedicated project manager, and implementation services from Navigator Business Solutions. The team executed staged cutovers and comprehensive day in the life testing prior to go live, deferring noncritical module activation until core financial and order workflows stabilized.
The deployment went live in April 2019 during Rothy's largest sales week and processed live order volume without a system wide outage, though operational blips were identified and resolved after go live. The result is a cloud based SAP Business ByDesign ERP Financial foundation that centralizes Finance and Operations and enables phased activation of additional modules and a planned integration of Chinese manufacturing in a subsequent phase.
