In 2017, Saville Audio Visual implemented Sage Business Cloud X3 (ex Sage ERP X3) in the ERP Financial category, migrating from Sage 500 ERP formerly MAS 500 to consolidate financial and operational control. The deployment was scoped to support the company’s two trading arms and ten locations, and was provisioned for 47 concurrent users to serve finance, purchasing, warehouse and project workflows across distribution, installation, hire and manufacture business models.
Sage Business Cloud X3 was configured with finance, distribution, CRM and EDM modules, and delivered a single Purchase Ledger, one Sales Ledger, one Nominal Ledger and a unified coding structure to provide cross-company visibility. Functional automation implemented included automatic credit note generation from invoices, back to back purchasing tied to installation projects, document management driven invoice emailing, and data driven alerts such as foreign currency order notifications to the accounting team.
CPiO acted as the Sage business partner during the project and used Sage X3 best practice templates to accelerate process creation and implementation. The solution was integrated with Sage Enterprise Intelligence for reporting and analytics, enabling scheduled and ad hoc slicing and drill down across open orders, transaction origins and project lifecycles, and all transactional documents were retained on customer and supplier accounts for rapid administrative access.
Governance and process restructuring centered on scoping organizational structure and embedding alerting and approval workflows to improve purchasing control and stock traceability. The implementation delivered a single consolidated information source that improved visibility across diverse operational models, streamlined day to day operations, reduced manual rework and increased the proportion of invoices automatically emailed to customers, while providing earlier visibility of unusual activity to help minimize operational risk.
