In 2021, Scienceopen Germany implemented Ovitas ELOenterprise to digitalize invoicing, contract, and customer management across its publishing and discovery operations. The deployment used an Enterprise Content Management solution to centralize document handling for finance, contracts, and customer records across its European operations. Implementation centered on the ELO ECM Suite with invoice automation and document archiving components, supplemented by contract management and customer record workflows inferred from the described scope. Configuration emphasized metadata driven repositories, automated document capture, and workflow orchestration to support automated invoice generation and governed contract lifecycles. Ovitas ELOenterprise was configured to generate invoices automatically and to persist associated documents in a controlled archive. Integration architecture included a connector integration with QuickBooks via the Ovitas i-Link, explicitly linking ELOenterprise document and invoice objects to QuickBooks bookkeeping records to remove manual handoffs. The Ovitas i-Link synchronized invoicing data to support end to end invoice processing between the Enterprise Content Management environment and the financial system. Ovitas acted as the implementation partner and led the 2021 rollout, provisioning Ovitas ELOenterprise, configuring modules, and validating the Ovitas i-Link connector at go live. Governance adjustments introduced centralized document lifecycle controls and automated workflows to reduce manual bottlenecks in invoicing, contract administration, and customer management, and operational processes were adapted for finance and publishing teams.
