In 2017, Scottish Book Trust implemented SuiteCRM as their CRM to consolidate contact records and to provide a single platform for programme administration across the charity. The deployment addressed the organisation wide need for a stable, easy to adapt system that could support day to day workflows for multiple teams and a broad range of reading and writing programmes.
The SuiteCRM implementation delivered a single contact repository with multiple permission levels, centralized contact and relationship management, and specialised programme administration capability. Functional components implemented included contact management, programme administration for named initiatives such as the Author Directory, Live Literature Programme, Bookbug Picture Book Prize and Schools Programme Events, event management for internal and external events, and fundraising workflow and donations management consolidated into the CRM.
Integrations were implemented to connect SuiteCRM with the Scottish Book Trust website and with JustGiving, creating a fully integrated solution for programme and donor data flow. SalesAgility facilitated the technical delivery, and continues to host and support the SuiteCRM instance while refining configurations to onboard additional programmes and teams without extensive redevelopment.
Governance and delivery followed a structured discovery approach led by SalesAgility, using workshops, user stories and acceptance criteria to define requirements and prioritized features. Explicit outcomes reported include a single contact repository resulting in improved contact and relationship management, increased efficiency through automation of key programmes, and enhanced reporting capability due to a unified contact and programme database.
