In 2018, Shake Shack implemented Workday Financial Management, an ERP Financial application to centralize financial processing across its expanding restaurant footprint. The deployment replaced Sage 100 formerly MAS 90 and MAS 200 and focused on consolidating transaction processing, journal controls, and reporting into a single cloud financial system for the enterprise finance organization.
Workday Financial Management was configured to automate core accounting workflows, including electronic journal approvals that removed the requirement to print and physically sign every journal entry, and to provide searchable ledgers and audit trails. The implementation supported finance-led processes for month end closing, account reconciliations, and control enforcement, addressing prior manual control activities and long quarter close cycles.
The Workday Financial Management deployment was implemented alongside Workday Adaptive Planning for budget and forecast cycles, enabling cost center managers to run revenue and spend forecasts, amortize equipment, and accelerate board reporting. The company also aligned Workday Financial Management with Workday Human Capital Management and Payroll capabilities to ensure consistent master data for finance and workforce reporting, and it leveraged Workday Application Management Services from Deloitte for ongoing operational support.
Governance and audit workflows were restructured so internal audit teams can directly query Workday Financial Management for account balances, journal entry detail, and purchase approval history, reducing the need to collect paper records from departments. In 2020 Shake Shack implemented Accruent Lucernex as its Lease Management platform. The deployment was scoped to centralize lease administration and lease accounting for a publicly traded restaurant operator, with a focus on month end close accuracy and SEC disclosure readiness.
Accruent Lucernex was configured to manage lease administration records, lease accounting entries, accruals, and the preparation of lease disclosure footnotes for 10-K and 10-Q filings. Configuration emphasized key date tracking, tenancy schedules, and P&L allocation for occupancy expenses to support internal reporting and variance analysis.
Operational coverage included Finance, Real Estate and Development, Legal, Supply Chain, FP&A, and Operations teams, with workflows designed to accelerate information flows for new contracts and critical dates. The implementation was executed as a year long project led by a lease accounting subject matter expert who trained and managed lease administrators and built a three person team to operate the system.
Governance changes accompanied the technical implementation, instituting completeness checks and independent prepare and review practices, and strengthening communication protocols between accounting and Real Estate stakeholders. Training converted two lease administrators into hybrid roles that contribute directly to the accounting close, and control remediation addressed previously identified SOX deficiencies.
Outcomes documented during and after the rollout included shortening the month end close from 15 days to 5 days, remediation of SOX control deficiencies, and improved P&L analytics for occupancy expense variance analysis enabling faster responses from FP&A and operations. Accruent Lucernex serves as Shake Shack’s system of record for lease administration and lease accounting, supporting ongoing disclosure and close processes.
