In 2018 Smyths Toys UK implemented SoftCo ExpressAP for AP Automation to automate invoice processing across its expanded supplier base following rapid organic growth and European acquisitions. The initial deployment concentrated on centralizing invoice intake and approval workflows to address long approval cycles and the additional complexity introduced by remote working.
SoftCo ExpressAP was provisioned as a centralized AWS hosted cloud-based solution with unique login credentials and role-based permissions to segment access by AP and business approvers. The implementation captured vendor invoices and eliminated manual data entry through automated invoice field extraction, enabling AP staff to assign the correct GL codes and cost centers and to forward invoices through configurable approval routing.
Operational coverage included the Smyths Toys AP function across multiple UK and European locations, with users accessing the cloud solution from remote sites to carry out coding and approvals. The configuration emphasized user experience and rapid onboarding, with training designed to accelerate adoption across distributed teams.
Governance and process changes focused on standardizing invoice capture, coding, and approval workflows within SoftCo ExpressAP, reducing the number of manual touchpoints and queries. As delivered the system captured all vendor invoices into a single AP Automation platform, allowed instant routing to business users for approval, and shortened the path to vendor payment through centralized, permissioned remote access and streamlined workflows.

| SAP | Legacy | SAP SuccessFactors Employee Central | Core HR | HCM | n/a | 2018 | 2019 |
In 2018, Smyths Toys UK implemented SAP SuccessFactors Employee Central as a Core HR deployment to centralize HR and payroll integration and to provide a single source of employee master data. The program was managed internally with clear responsibility for integration across HR and Payroll functions, and it was positioned to support further module rollouts after initial stabilization.
The implementation deployed SAP SuccessFactors Employee Central and included the EC, RCM and ECP modules. Configuration work focused on employee master data management, workforce administration, recruiting lifecycle capabilities through RCM, and payroll orchestration via ECP, with Core HR workflows, role based security, and data governance rules applied to core employee records.
The project required extensive sub integrations with payroll, HR, time and attendance, finance and IT systems, delivering interfaces to synchronize employee records, export payroll feeds and consolidate time capture data. Governance and operational ownership were structured around the HR team responsible for managing integrations, with phased rollouts and a stated plan to Go Live with additional modules in the future, requiring cross functional coordination between HR, Payroll, Finance and IT.

| SAP | Legacy | SAP BusinessObjects | Analytics and BI | Analytics and BI | n/a | 2016 | 2016 |
In 2016, Smyths Toys UK implemented SAP BusinessObjects to strengthen its Analytics and BI capability as part of a broader migration of its SAP estate to a scalable cloud infrastructure. The SAP BusinessObjects deployment was positioned to expand reporting capacity and ingest larger volumes of transactional and master data to keep decision makers informed for purchasing and merchandising across the business.
SAP BusinessObjects was configured to consume data from SAP BW on HANA and SAP HANA instances, delivering standardized business intelligence reports and dashboards used by buying, merchandising, and operations teams. Typical Analytics and BI functionality implemented included centralized report scheduling, ad hoc reporting and dashboarding, and data model consumption from the BW on HANA layer to support category and assortment decisions for roughly 10,000 active SKUs.
The implementation ran alongside a cloud migration on Google Cloud, leveraging scalable virtual machines on Compute Engine and supporting Hybris autoscaling ecommerce systems to handle online traffic surges. Integrations explicitly included SAP BW on HANA, SAP HANA instances that support ERP and BW, SAP Hybris for ecommerce context, SAP Fiori for UX consistency, and SAP PI and PO for process integration across development, quality assurance, and production landscapes.
Operational governance centered on the SAP BASIS team responsible for 47 SAP systems across development, QA, and production, with BI reporting used by the headquarters buying department and retail operations across about 200 stores in the UK, Ireland, Europe and the online channel. Reported outcomes from the cloud-aligned deployment included freeing IT teams from routine management to focus on innovation, a pay as you use model, a reduction in infrastructure expansion lead time from months to minutes, improved data ingestion for business intelligence reporting, and 75% more time directed toward innovation rather than IT management.
