In 2017 Solargain deployed ServiceM8 as its Field Service Management platform to manage post-sale PV and battery installation workflows across ACT, SA and NSW. The deployment centered on a cloud-based dispatch and mobile job management model to coordinate internal teams and contractor crews across multiple sites.
ServiceM8 was configured to manage scheduling and the post-sale pipeline, including calendar management, job scoping, customer communications, and on-site issue flagging. Installation coordinators use ServiceM8 for creating and editing sales orders, scheduling installations by location, difficulty and team competency, and recording job notes and references to electrical single line diagrams. ServiceM8 is used alongside Formbay for structured form capture and Solargain's internal CRM SAM for customer and opportunity context.
Financial flows are integrated with MYOB EXO for invoicing, purchase order creation and receipt, and accounts reconciliation, enabling the Installation Coordinator to create and receipt POs in MYOB EXO from the ServiceM8 job lifecycle. Operational coverage includes the Installation Coordinator role, the Service Department, accounts, and contractor management across ACT, SA and NSW. Google Sheets and Microsoft Office are used as adjunct tools for ad hoc reporting and stakeholder communications.
Governance and workflow controls implemented include vetting workflows to flag jobs that fall outside standard project timelines, contractor assignment rules based on competency and location, and complaint handling and dispute resolution linked to ServiceM8 job records. Monthly close and reporting activities are coordinated between the Installation Coordinator and accounts team using data pulled from ServiceM8 and MYOB EXO. The platform is also used to support post-install repairs coordination and ad hoc training and support for junior team members.
