In 2015, The Berkeley implemented Infor SunSystems as its core financial ledger in an ERP Financial deployment. The implementation centralized financial postings and inventory accounting across hotel operations, targeting Food and Beverage, Tobacco, SPA, Linen, OS&E and a dedicated F&B Shop.
Infor SunSystems was configured to support high-volume transactional workflows, including daily invoice postings for multiple outlets, end of month journal postings, stock counts and balance sheet preparation for F&B, and monthly staff sale cross charging. The deployment incorporated menu engineering capabilities aligned to F&B cost control, covering recipes, PLU configuration and custom screens and buttons to streamline point of sale to ledger flows, and it was used for routine F&B profit and loss reviews.
The project included explicit integrations and project work with InfoGenesis and with Micros Symphony, reflecting direct point of sale to financial interface activity and a hotelwide Micros Symphony project ownership. Interfaces and reconciliations were operationalized to support stock reconciliation between outlets, transfers tracking to ensure cost of sales accuracy, and regular coordination with Purchasing for purchase order release and cellar spot checks, as well as preparation of weekly and monthly Bacs Run with accounts payable.
Operational governance emphasized a disciplined reporting cadence and procedural controls, with daily, weekly and monthly KPI reporting such as F&B sales mix, flash reports for food amenities and beverage, open and void check controls and allowance tracking. The implementation drove creation of SOPs for cost control, routine spot checks across beverage and tobacco, and formal liaison processes with the F&B Director, heads of department and purchasing. Operational responsibilities extended to training staff across two sister hotels and maintaining Health and Safety and Employee Forum representation within the accounts team.
