In 2019, The Open University began implementing SAP S/4 HANA. SAP S/4 HANA was implemented as the institution's ERP Financial platform to centralize core financial and administrative processes across the university.
The program culminated in a greenfield SAP estate go-live in November 2020, which included SAP S/4 HANA alongside ECC 6.0 EHP 8, BPC for BW/4HANA, SAP Gateway and Fiori. The technical architecture used a mixed public and private cloud configuration and incorporated integration and middleware components such as SAP CPI, SAP PO, API Management and EMS to connect third party services.
Functional coverage extended beyond core finance to HR, procurement, travel and customer engagement, evidenced by integrations with SuccessFactors, Concur, Ariba, Cloud for Customer with AskHR, OpenText and Customer Data Cloud. The ERP implementation established a SAP and Fiori Factory roadmap, and the SAP S/4 HANA deployment included standard ERP Financial workflows, financial planning via BPC and enterprise reporting on BW/4HANA.
Operational governance was formalized through a 32 member ERP Products team structured around Agile, DevOps and ITIL principles, using a blended on and offshore resourcing model. The team owned Incident, Change, Problem and Release Management, participated in the CAB, and produced the Statement of Work, Operations Manual and Service Delivery Manuals while agreeing RACIs and contributing to the new Target Operating Model. The program also guided a successful external compliance audit and a licensing benchmark audit conducted six months after go-live, and embedded new SAP processes and operating discipline into university operations.

The team produced a training curriculum and learning pathway with defined delivery methods, and they analyzed business processes and technical documentation to map job-role workflows into system exercises for SAP SuccessFactors Employee Central.
The program produced storyboards for the digital team to author engaging eLearning and identified a complete list of online step by step system simulations needed to train users on how to use SAP SuccessFactors Employee Central in their day to day roles. This approach enabled virtual self paced training for the largest audience groups and reduced the amount of classroom training required, reinforcing role based governance for position management and resourcing processes.
