Configuration of Onit SimpleLegal focused on matter management, budget request and approval workflows, legal billing intake and vendor billing guidelines, subpoena and litigation tracking, and record keeping for fleet and compliance matters. The implementation included role-based administration with a Project Administrator and Implementation Manager responsible for system configuration, matter taxonomy, and financial workflow rules to support reporting to Finance and Accounting.
The deployment integrated with CounselGo for managing budget requests and operated alongside Concord, the company contract management system, with the SimpleLegal deployment administered in coordination with Concord to maintain contract and matter linkage. Operational coverage extended across Legal, Finance and Accounting, Customer Service, and Consignor Relations, with processes also supporting business license and permit management for the companys 21 store locations.
Governance changes introduced during the rollout included creation of Legal Billing Guidelines for outside counsel, designation of a chief administrator for Concord and Onit SimpleLegal, and formalized liaison responsibilities between outside counsel and internal stakeholders. The implementation also codified subpoena management procedures and accrual reporting touchpoints with Finance to ensure consistent legal vendor expense capture.
