In 2010, The Systems Group implemented Intuit Quickbooks Pro as its ERP Financial system. The deployment at The Systems Group, LLC in Birmingham, AL covered corporate accounting and operational finance for a roughly 100 employee media firm.
Configuration work focused on full cycle accounting and cash management using Intuit Quickbooks Pro. Functional modules and capabilities implemented included general ledger reclassification and cleanup, cost of goods sold setup and profit analysis procedures, accounts payable, accounts receivable and collections, biweekly payroll processing for 20 employees, monthly profit and loss reconciliation, and complete financial statement preparation and presentation.
Operational integration work included developing and implementing a procedure to report service calls to ADT Security to ensure payments were received timely for work completed, and reconciling bank activity back to January 2010 to align bank statements with the accounting ledger. The bookkeeping scope also encompassed reconciliation of 10 bank loan and credit card accounts, sales and use tax and occupational tax preparation and filing, personnel record maintenance, and workers comp and health insurance record management.
Governance and workflow changes were driven by chart of accounts remediation, reclassifying duplicate GL codes and essentially reconfiguring the trial balance to improve financial accuracy. Processes for recording cost of goods sold and producing profit analyses were formalized, and accounts payable, accounts receivable and collections workflows were standardized within Quickbooks Pro. Payroll, bank reconciliation and monthly P and L review routines were institutionalized to support ongoing finance operations.
Intuit Quickbooks Pro was the primary tool used to produce the monthly reconciled P and L and complete financial statements, and the ADT reporting procedure materially supported timely cash collection for service work. The implementation centralized core ERP Financial functions for accounting, payroll and tax filing within Quickbooks Pro.
