In 2017, Torfs implemented Kofax ReadSoft Online for AP Automation. The deployment targeted automation of accounts payable intake and invoice processing to support a central finance team of eight within the Belgian retailer Torfs, aligning Kofax ReadSoft Online with day to day invoicing and financial administrative preparation workflows.
Kofax ReadSoft Online was configured to provide automated capture and OCR of inbound invoices, scanning of internal and external mail, extraction and coding of invoice line data, and validation workflows for invoice booking. Functional capabilities used included coding and booking of supplier invoices, handling of credit invoices and cash invoices, entry of cash expenses and receipts, and preparation of monthly records and reminders.
The implementation processed multiple payment and sales feeds as part of operational reconciliation, including reading webshop payment files from Ogone and Tunz, downloading and checking reports for Amex and paysquare, and preparing bank statements for cash, paysquare and Amex. Operational scope extended to store deposit control, turnover reconciliation by store, settlement of double outstanding items, reconciliation of post web and exchange entries, and handling of small bank transfers and checks.
Governance and workflow changes centralized AP intake and introduced exception routing for cash control issues, cash differences investigation, fines and reminders handling, Sodexo and Awards check closing, and reconciliation checklists. The system supported transactional handoffs between store finance activities and the central finance function, and it was used throughout routine month end and daily reconciliation tasks.
Operational use was documented in live support activities from June 2018 to December 2018, where an Office Assistant Finance provided day to day support for the finance team of eight across the full invoicing process, including scanning invoices into Kofax ReadSoft Online, booking and coding, reconciliations and report checks.

Configuration focused on template-driven signature policies, dynamic user attribute mapping from the Office 365 directory, and rule-based signature assignment by user role and department. Exclaimer Cloud Signatures for Office 365 was configured to render signatures in the cloud, reducing client-side dependency and enabling centralized administration of signature assets and brand templates.
The implementation integrated with Office 365 mail flow to apply signatures at send time and leveraged directory attributes for personalization, aligning the application with Torfs' corporate email environment in Belgium. Operational coverage included corporate email accounts and centralized template management, with marketing and IT collaborating on signature content and change requests.
