In 2013 Toyota (GB) participated in Toyota Motor Europe’s upgrade deploying Oracle E-Business Suite 12.1 for the Vehicle Order Management program, recorded in the ERP Financial category. The program targeted a multi-country VOM rollout and prepared the environment for imminent expansion into Germany and the UK while aligning Toyota Motor Europe wholesale sales and retail allocation workflows.
The Oracle E-Business Suite implementation encompassed the complete sales lifecycle for vehicles, spanning order capture through delivery, invoicing and retailer compensation payouts, with configuration focused on VOM functional modules and sales-to-cash process orchestration. The E-Business Suite 12.1 deployment was sized for compatibility with new hardware, operating systems and software stacks, and configured for scalability to support additional country rollouts.
Operational coverage was organized across 13 countries to accommodate differing national sales cycles, with a proof of concept executed in September 2010 to validate multi-country roll-out complexity and a go-live staged to meet June 2011 timing constraints. The upgraded Vehicle Order Management system was delivered as a fully integrated E-Business Suite application, removing the need for per-client installations and simplifying central configuration and maintenance.
Governance and delivery combined Oracle Consulting, Toyota Motor Europe operations and Infosys as system integrator, with Infosys identified as a Diamond level Oracle PartnerNetwork member. The migration was executed with minimal production disruption over an implementation weekend, and after the first day in production 1,258 retailer car orders were processed through the new VOM system.
Explicit outcomes reported include up to a 40 percent reduction in retailer response time for availability and delivery enquiries, shorter lead times for customer delivery, improved allocation of vehicles across retailers and lower stock levels contributing to reduced operating cost exposure. The implementation also provided Toyota Motor Europe an opportunity to streamline processes and enhance its lean operating environment.

Operational ownership and governance were centered in Finance, with the Payroll Specialist maintaining daily updates and the Financial Controller overseeing reconciliations and pay accuracy. Routine processes included daily system updates, thorough checking of overtime reports to eliminate errors, and logging monthly expenses related to company cars and fuel cards, which ensured agency staff were paid correctly for hours worked.
