In 2023, Trion Solutions implemented COBRA Administration Manager in the Benefits Administration category. The implementation focused on centralized benefits administration for Trion and its client benefits accounts, establishing a structured platform for enrollment processing, COBRA compliance, carrier coordination, and benefits data management.
COBRA Administration Manager was configured to support end to end benefits workflows, including client and employee file creation, cost share and deduction setup, benefit groups configuration, and benefits enrollment material generation. Functional capabilities implemented included eligibility reporting, new hire and termination reporting, ACA report generation, HSA contribution and deposit profile management, benefits audits, and carrier invoice reconciliation. The platform was used to create custom employee benefits packets and to manage census data distribution for clients and carriers.
The deployment integrated with Trion's HRIS for population and testing of client deductions, cost shares and benefit groups, and it operated alongside payroll processors to verify payrolls prior to processing, reflecting the explicit HRIS and payroll coordination tasks performed by benefits administrators. Enrollment and dependent information flows were updated to carriers and carrier systems as needed, and COBRA Administrator workflows were supported by a benefits checklist to ensure compliance documentation met established due dates. Operational coverage included the Trion benefits team, HR, accounting, and client facing service delivery, with documented on site benefit meetings for clients in Troy, MI during May 5, 2024 to October 24, 2024.
Governance centered on process controls for data entry and testing within the HRIS, scheduled audits for HSA and benefits accuracy, and interdepartmental coordination on benefits, 401K and accounting matters. Compliance tracking for COBRA and ACA reporting was embedded in daily operations through the configured workflows and checklist handoffs to the COBRA Administrator, ensuring adherence to documented due dates and carrier reconciliation processes.
