In 2022 Uniting Vic.Tas implemented Coupa Invoice to establish a centralized AP Automation capability across the organization. The deployment targeted invoice review and processing for telecom and service providers within a non profit operating footprint of roughly 3,935 employees and more than 150 sites in Australia.
Coupa Invoice was configured to provide cloud based invoice capture, supplier invoice management, automated invoice matching, and configurable approval workflows consistent with AP Automation best practices. Configuration work focused on routing telecom and vendor invoices into approval chains, establishing rule based reconciliation for recurring telephony charges, and enabling finance and procurement users to review invoices within Coupa Invoice.
Operational coverage emphasized collaboration between IT, procurement, finance, and telecom operations, with reception and business teams providing usage and licensing context for telecom services. The implementation explicitly incorporated 8x8 billing and reporting into the Coupa Invoice review process, allowing invoices and usage reports from 8x8 to be reconciled inside Coupa Invoice and surfaced to approvers.
Governance changes included centralizing invoice review workflows in Coupa Invoice, formalizing license allocation checks during invoice approval, and establishing ongoing processes to align billing with actual usage. As a result of using Coupa Invoice the team aligned 8x8 billing with usage and optimized license allocations, and the platform became the primary control point for telecom invoice validation and supplier charge governance.
