In 2015, Paris Saclay University deployed Rydoo Expense (ex Xpenditure) as an Expense Management platform to centralize travel and group accommodation processing. Rydoo Expense was used to manage end to end hotel group reservation workflows and expense recordkeeping for university travel and events operations.
The implementation focused on functional modules for group hotel bookings, contract negotiation and rate management, booking amendments and cancellations, virtual credit card payment handling and wire transfer processing, invoice issuance and hotel voucher distribution, and rooming list generation. Rydoo Expense supported event and venue coordination capabilities including blocking hotel space and meeting rooms with audio visual equipment, arranging coffee breaks and catering for gatherings from 10 to 300 persons, and dedicated VIP accommodation booking workflows.
Operational integrations were explicit and included supplier connectivity with booking channels such as Booking.com, GTA, Go-Global, and Expedia, enabling worldwide reservation processing. The platform processed bookings and supplier transactions on behalf of a broad set of French public and business clients including Université de Lorraine, Université Paris Sud-Saclay, Université de Strasbourg, Université Aix Marseille, CNRS, ANR, INRIA, CNAV, GENERALI, HAVAS VOYAGES, RTE, and ORANGE, while providing first level telephone and online traveler and travel arranger support in French and English.
Governance and process controls emphasized compliance with the client travel policy and a follow up from A to Z approach, covering negotiating rates, signing contracts, monitoring amendments and cancellations, processing payments, and distributing invoices and hotel vouchers to clients and rooming lists to hotels.
