In 2014, UF Health deployed UKG Workforce Central (ex Kronos Workforce Central) for Workforce Management. The implementation concentrated on time and attendance and scheduling to manage payroll for a 52-person staff, with operational procedures that cross-referenced timecards in UKG Workforce Central with scheduled work and class hours recorded in the Shands database.
Configuration emphasized core Workforce Management capabilities, including timecard capture, employee scheduling, and account provisioning for new hires. UF Health developed an accompanying employee record database to track orientation periods, unscheduled time off, and peer evaluations, and provisioned more than 20 new scheduling accounts to support onboarding and orientation workflows.
The deployment supported cross-referencing between the Shands scheduling database and the Kronos timecard workflow, enabling reconciliation of scheduled hours, class attendance, and payroll entries. Operational coverage extended into clinical supply and patient nutrition functions, where staff regulated PAR levels on a bi-weekly cadence, ordered nutrition room food stock three times per week, and expanded patient meal variety threefold within constrained budgets.
Process governance combined system configuration in UKG Workforce Central with database-driven procedures and manual checks, and introduced a custom bin-locater system for over 2,500 nursing supplies to increase workflow efficiency. These structural changes standardized scheduling and payroll reconciliation, formalized orientation tracking, and applied routine inventory controls to diminish overstock.
