Artsyl Legacy Artsyl docAlpha Natural Language Processing AI-Powered Application n/a 2016 2016
In 2016, Upper Grand District School Board implemented Artsyl docAlpha to automate payables and digitize utility invoices across its district. The deployment brought the Natural Language Processing application into the board's accounts payable workflow to handle nearly 400 monthly utility bills across more than 70 schools serving over 34,000 students in the Counties of Wellington and Duffering. The implementation leveraged Artsyl docAlpha document capture, classification and template-driven data extraction to convert paper bills into searchable PDFs and to extract water, electricity and gas usage fields. Templates were created from submitted sample bills, then iteratively tested and adjusted to capture usage metadata and indexing values, enabling categorized storage by location on the district file server. Automated outputs were routed to the board's file server, providing self-service retrieval for operations and other departments and reducing reliance on finance for usage data. The operational scope explicitly included accounts payable, finance and operations teams, centralizing access to scanned bills and usage history across school sites. The rollout completed within six months, with Artsyl assisting to define the process, develop templates and support initial testing before UGDSB assumed day to day management and issue regulation. The implementation eliminated identified bottlenecks in accounts payable, delivered instant access to utility usage information, and reduced scanning and filing effort by approximately 20 percent as reported by the district.
