Functional capabilities documented include review and analysis of staff claims, travel claims, entertainment claims and urgent payments, preparation of payment proposals and execution of payment runs, cheque processing through SAP, bank clearing for GIRO payments and preparation of month end journals to support closing. The system supported transactional tasks such as calculation of recurring bills, petty cash reporting for payroll payments and inter company rebilling and recharge reporting. Operational integration and governance were formalized through an authorization matrix requiring manager and director approvals for coded non PO invoices and claims, with AP responsible for reconciliation of AP balances against vendor statements of account. Payment execution was integrated with Citibank IBanking for release of payments including GIRO and domestic transfers, while vendor and employee communications were managed through email and phone. Workflow controls emphasized invoice verification, vouchering in SAP, payment proposal processing and weekly cash flow updates under AP ownership.
