In 2015, Vapotherm implemented Epicor ERP. The Epicor ERP deployment served as the companys ERP Financial application to support supply chain, purchasing and production planning activities at Vapotherm Inc in Exeter, New Hampshire. The implementation established a platform for inventory and procurement workflows used by supply chain and production teams.
Configuration emphasized inventory management, purchase order processing and order due date tracking. Vapotherm personnel leveraged Epicor ERP capabilities to maintain safety stock levels, track inventory orders and manage returns of nonconforming products, aligning with standard inventory control and procurement modules found in ERP Financial systems. The team used the application to create and maintain purchase order requests and to enforce a six hour fulfillment SLA for approved requests.
Operational coverage focused on supply chain and production departments at the Exeter, NH site, with governance driven by weekly cross functional production build plan meetings and weekly supplier meetings to expedite material. Supplier relationship management in the Epicor ERP context included maintaining communications with 32 suppliers and negotiating with brokers to support an aggressive production plan and inventory flow.
During a May 2022 to August 2022 supply chain initiative project plan memos were provided to executive leadership and the team met a stated objective of reducing excess and obsolete inventory costs by 10 percent. Epicor ERP is explicitly referenced in the operational notes as the tool used for purchase order control and inventory visibility, demonstrating configuration focused on procurement and inventory workflows within an ERP Financial application.

| ADP | Legacy | ADP Benefits | Benefits Administration | HCM | n/a | 2016 | 2016 |
In 2016, Vapotherm implemented ADP Benefits to centralize its Benefits Administration and align benefits workflows with its payroll and finance operations. The ADP Benefits implementation provided a core benefits enrollment and eligibility framework, and was configured to support standard Benefits Administration functions such as enrollment processing, eligibility rules, life event handling, and compliance reporting consistent with the category's capabilities.
Deployment emphasized operational integration with payroll procedures, reflecting existing use of ADP for payroll where staff served as backup to the Payroll and Benefits Administrator using ADP, and coexistence with intermittent PEO administration through Insperity as noted in company staffing experience. The implementation supported HR, Payroll, and Finance functions across the states where Vapotherm conducts business, enabling benefits administration to feed into month end accruals and general ledger reconciliations managed by the finance team.
Governance and process changes accompanied the rollout, with benefits administration responsibilities aligned to the Payroll and Benefits Administrator role and backup coverage documented in recurring monthly meetings with department heads. Those meetings, together with reconciliations for prepaids and accruals, integrated benefits transaction records into Vapotherms month close cadence and sustained operational links between HR, Payroll, and Finance under the ADP Benefits configuration.
