In 2016, Viapost implemented SAP S/4 HANA as its ERP Financial platform to centralize core finance operations and establish a consolidated finance backbone. The SAP S/4 HANA deployment was aligned with a SAP FICO on HANA finance configuration to support transactional accounting and financial close workflows.
Operational management of the SAP S/4 HANA instance was run by Viapost information systems department, a 50 person organization combining internal and external staff organized into Projects, Infrastructure and Support. IT management was structured across 15 areas of expertise, and the implementation was positioned within a broader application landscape that included SupplyChain WMS REFLEX and transport systems SAP TM and TELIAE, with BI reporting delivered through SAP BW and BO.
The SAP S/4 HANA application was integrated with collaborative services on SharePoint and with HR systems Kelio, Temporaris, Cegedim and Horoquartz, while incident and change workflows were managed through GLPI and JIRA. Infrastructure components supporting the solution consisted of Oracle and Microsoft SQL Server databases, Windows platforms and VMware virtualization, which hosted BI and transactional services.
Governance and operational rollout were executed by the IT management organization, with dedicated project teams for rollout, infrastructure stabilization and ongoing support, and with support processes instrumented in GLPI and JIRA. The implementation reflects a centralized SAP S/4 HANA ERP Financial deployment tied to cross functional finance, supply chain, transport and BI processes under Viaposts IT management structure.

In 2016, Viapost implemented Bodet Kelio Time and Attendance. The deployment established Bodet Kelio Time and Attendance as the central Time and Attendance system for time capture and attendance rule enforcement across Viapost operations in France, aligning with HR and payroll processes for a 2500 employee professional services company.
Configuration work focused on time management on the Kelio HRIS and the entry and control of variable payroll elements, with explicit configuration to update HR dashboards. The implementation also delivered modules for management of medical visits, distribution of payslips and restaurant vouchers, and the intranet trombinoscope to support employee directory and self service access. Functional capabilities were implemented to support time collection, attendance rule enforcement, validation workflows for variable payroll elements, and HR reporting.
Operational scope covered HR and payroll departments, occupational health coordination, and employee facing services across Viapost France. Bodet Kelio Time and Attendance was used to centralize timekeeping records and to orchestrate document distribution tasks such as payslip and meal voucher issuance.
Governance and process changes concentrated on formalizing control of variable payroll inputs and centralizing HR dashboard maintenance to support payroll processing and occupational health scheduling. The intranet trombinoscope established a controlled employee directory and visibility model, while payroll entry and validation processes were standardized into Kelio driven workflows.

In 2015 Viapost implemented Tungsten ReadSoft Invoices (formerly Kofax ReadSoft Invoices) to automate accounts payable capture and invoice verification as part of an Intelligent Document Processing deployment. The engagement was scoped as an accounting central services provider CSP for 12 legal entities within a group generating approximately €500M in turnover, covering more than 20 physical sites and a user network exceeding 100 individuals.
The implementation of Tungsten ReadSoft Invoices focused on document capture and scanning, automated OCR and classification, rule-based invoice validation and three-way matching workflows, and exception routing to accounting operators. Configuration work included company-level invoice rules and approval chains appropriate for a multi-entity CSP, plus automation of recurring invoice types to reduce manual touch points.
Integrations were implemented with SAP ECC and other finance tooling in the environment, and ReadSoft was listed among the optimized process tools alongside Magnitude. Operational coverage extended to the CSP accounting team of 13 staff including two executives, supporting month-end closings, accounts payable processing, and scan-to-ledger transaction flows across the 12 companies and distributed sites.
Governance and program management were run by the CSP accounting manager with direct responsibility for 13 people, and the project portfolio included the CSP rollout, implementation of a centralized scanning capability, a TUP event, and partial contribution of assets from a business unit with €250M in turnover. The program reported an explicit productivity gain of 38 percent, and operational governance centered on enforcing standardized accounting flows and closing procedures using Tungsten ReadSoft Invoices.
