In 2021 Whitbread implemented Oracle Hospitality Micros Simphony Cloud as its Point Of Sale platform across its UK estate and an expanded footprint that included targeted deployment for 31 hotels in Germany. The implementation used the cloud edition of Oracle Hospitality Micros Simphony Cloud to standardize checkout and payment workflows across reception, self check in kiosks, and restaurant points of service. Deployment emphasized a centralized cloud POS architecture to support distributed on site POS devices and integrated payment endpoints.
Configuration work focused on core POS capabilities typical to the Point Of Sale category, including card present payment processing with Pin Entry Device integration, support for self service kiosk transactions, and business account Card Not Present authorization workflows. Oracle Hospitality Micros Simphony Cloud was configured to handle secure meal allowance payment flows, aligning POS transaction logic with corporate spend policies and onsite restaurant operations. The project documented functional workflows for cashiering, kiosk session handling, and allowance authorization to ensure consistent transaction handling across venues.
Integrations were explicit and practical, the implementation included a secure meal allowance payment integration between Micros Point of Sale and Oracle Property Management System, and an integrated payment solution that enabled onsite teams to accept payments via PED directly from both the hotel reservations system and restaurant systems for the 31 German hotels. Whitbread replaced the payment gateway service and the merchant acquiring service for the United Kingdom, Republic of Ireland, and Germany as part of the same program, and implemented Card Not Present authorization for Business Account spend and allowances. The broader IT program also integrated ServiceNow ITSM enhancements, adding Virtual Agent and Live Chat through Microsoft Teams and ServiceNow portal with Azure natural language understanding for support automation, and automated secure weekly transfers of employee HR records from the Data Platform to the onsite scheduling tool to address working time regulations.
Governance and rollout were led by an internal IT project manager, with discrete workstreams for payments, POS configuration, PMS integration, and workforce scheduling automation. The payment merchant replacement was executed as a capital program valued at circa £8.9m, and the working time regulations automation was delivered under a circa £495k program, both described as successfully implemented. Operational governance included revised support workflows tied into ServiceNow and automated data feeds to scheduling, enabling centralized control of POS configuration and payment interfaces across the UK, Republic of Ireland, and Germany.
