In 2008, Yankee Candle implemented Oracle e-Business Suite Accounts Payable as its AP Automation solution to centralize and standardize accounts payable processing across retail, manufacturing, catalog and specialty business lines. The Oracle e-Business Suite Accounts Payable deployment operates alongside a dual ERP footprint, maintaining AP transactions and reconciliations in both Lawson and Oracle R12 environments to support multi-channel retail operations. This implementation supported regional and business-unit coverage that explicitly included manufacturing, retail buying, retail development, catalog sales, fundraising, Canada and Chandlers Tavern. The rollout emphasized operational continuity across those sites while consolidating AP procedural controls within the Oracle AP Automation layer.
Functionally the Oracle e-Business Suite Accounts Payable implementation covers vendor master management, invoice matching and reconciliation, inter-company vendor reconciliations, and 1099 processing to meet IRS guidelines. Payment orchestration supports domestic and international vendors using multiple payment methods, including Check, Wire, PayMode, e-Payables and Direct Deposit, and the AP team maintains Sales and Use tax calculation on invoices. The Accounts Payable function balances and reconciles payables to the general ledger, performs month-end and year-end closing procedures, and leads the Sales Audit processes tied to cash receipts and merchant settlement reconciliation.
Integrations and adjacent systems explicitly maintained as part of the AP Automation landscape include the Concur travel system for T&E compliance, P-Card, AMEX and PNC Travel Card programs, and the Comdata Gas Card Program, all of which are reconciled within AP processes. The AP organization works directly with e-commerce service providers and credit card processors for settlement and chargeback resolution, and coordinates with the PCI Compliance team to keep point of sale systems out of scope while reconciling POS transactions to the general ledger. Operationally the implementation required coordinated workflows with General Accounting for cash management and working capital oversight, and ongoing collaboration with external and internal vendors to resolve invoice, receiving and payment issues.
Governance and control were explicit implementation priorities, with internal procedures documented to meet Sarbanes-Oxley compliance standards and structured month-end controls to meet forecast and close requirements. The AP team also partnered with Project Management to manage the impact of projects on AP and Cash Sales Audit processes, and retained responsibility for maintaining the accuracy and integrity of the Vendor Master File.
