In 2013, Browns Food Group implemented Sage Paperless as its Document Management application. Browns Food Group implemented Sage Paperless Document Management to support document generation workflows across finance, operations and HR, aligning document capture and storage with the group ERP support organization.
Sage Paperless was configured to provide document generation templates, capture and indexing, secure storage and retrieval workflows, and automated routing consistent with Document Management functional patterns. The Business Systems Support Team handled configuration of user accounts, user menus and system screens, and the building and maintenance of operational reports that drive document retrieval and approval workflows.
The deployment was integrated into the company ecosystem with explicit operational links to Sage 1000 ERP and Time & Attendance interfaces, and the Business Systems Support Team ensured interfaces between Sage Paperless and other solutions such as the Engineering Plant Maintenance & Management System, Transport Management System and HR Management & Payroll Software were functioning and providing correct data. Ongoing technical support included SQL Server administration and basic MS SQL extracts to underpin document indexing and report generation.
Governance and operational support were centralized in the Business Systems Support Team based at the head office site in Kirkconnel Dumfriesshire, with responsibilities for helpdesk communication, incident resolution with IT and Operations teams, and occasional travel to other sites as required. In 2012 Lister Petter implemented Sage Paperless as a Document Management solution alongside a Sage Line 500 v7.1 ERP environment. The deployment supported a 100 user multi company Sage Line 500 environment spanning America, South Africa, Dubai, France, India and three sites in the United Kingdom, with day to day support provided to users across all countries.
Sage Paperless was installed on a virtual infrastructure using VMware and a SQL Server 2008 database, with explicit configuration and conversion work on Sage databases. The implementation included conversion of bespoke tables, stored procedures, triggers and DTS jobs, and the introduction of automated SQL jobs and Sage GUI Automation to support document capture, storage and retrieval tied to transactional records.
Integrations and technical components implemented included SQL Server 2008 based data storage, DTS routines and stored procedures for data movement, Sage GUI Automation for task automation, Excel reporting interfaces and a bespoke reporting solution. The use of Sage Paperless as a Document Management solution was aligned with the transactional data in Sage Line 500 v7.1 to support electronic document handling within the ERP transactional workflows.
Governance and operational changes focused on centralized database administration and automated job scheduling, with the ERP Manager converting all Sage databases and operationalizing automated GUI applications and SQL jobs. The implementation scope emphasized cross site consistency in document management and reporting processes across the multi country footprint.
